Introduction

At Niji, protecting the privacy of web users is a core concern. We particularly strive to adopt a consistent approach of compliance with data protection regulations, including the European directive on privacy and electronic communications (e-privacy directive) of July 12, 2002, the European General Data Protection Regulation (GDPR) of April 27, 2016, the French Data Protection Act (LIL) of January 6, 1978, and all their future updates (together the “Regulations”), as well as the recommendations of the French National Commission for Information Technology and Liberties (CNIL). 

 

The purpose of this policy is to inform visitors to the website https://www.niji.fr/ concerning : 

  • The personal data that we collect through our website
  • The processing of this data by Niji 
  • Your rights concerning this processing 
  • The cookies that may be placed on your terminal via our website

Definition of personal data

Your personal data comprises all the information that makes it possible to identify you or make you identifiable, such as your name or location data. The processing of your data includes any operation or set of operations (that may or may not be performed through automated processes) applied to your data, such as the collection, recording or dissemination of your data. 

 

Niji acts as the controller, i.e. we determine the purpose and the means used for the processing of your data on our website. If we call on other people to process your data on our behalf, they will act as processors, within the meaning of the GDPR, and will be described below, where relevant.

Niji’s processing of personal data

For the operation of the website  https://www.niji.fr Niji processes data about you:

 

Contact forms

  • Purpose of the data processing: enable you to contact us via a contact form and enable us to reply to you
  • Legal basis of the processing: consent via a checkbox when the form is filled in, before it is sent
  • Data collected:
    • Fields with an asterisk: name, company, email, content of the message
    • Other fields: telephone number

 

Replies are mandatory in fields marked with an asterisk. A lack of reply is likely to jeopardize the processing of your request. Other replies are optional and will not affect the processing of your request.

  • Data recipients: the Niji services concerned
  • Data storage period: as a minimum, the time required for the processing of your request, and then deletion at your request or during an automatic purge every 12 months

 

Job applications

  • Purpose of the processing: manage your applications and add your profile to the “Cvthèque” database to enable us to submit other job offers to you, where relevant
  • Legal basis of the processing: necessary for the pursuit of Niji’s legitimate interests, i.e. the management of our recruitment processes and the implementation of precontractual measures if you reply to one of our job offers. Your consent is also required before completing your job application
  • Data collected:
    • Identity data: surname, first name, email address, postal address, telephone number, residence permit for foreign workers requiring a work permit
    • Occupational data: CV, cover letter, diplomas, distinctions, training undergone, work experience, names of previous employers and interview reports

 

Please note that we may also add information to your profile, i.e. (i) information collected during contacts with you, whether in writing, by phone or in physical interviews, (ii) information collected via professional social media or any source of public information, or (iii) information that you voluntarily want to share with us.  

 

Replies are mandatory in the fields marked with an asterisk. A lack of reply is likely to jeopardize the processing of your request. Other replies are optional and will not affect the processing of your application.

  • Data recipients: the Niji services concerned (Human Resources and the relevant business departments)
  • Processors: for easier management of recruitments, we use the DigitalRecruiters software published by Bankess. It is used to advertise job offers, collect candidatures and manage them. For this purpose, Niji acts as controller while Bankess acts as processor.  As processor for Niji, Bankess is authorized to access your data where necessary, in particular within the scope of its administration and maintenance of Niji’s careers site and the candidature management tool. However, Bankess cannot disclose this data to its own processors without Niji’s prior consent. Bankess may be required to transmit your data to a judicial authority, at the latter’s request. Bankess hosts your data in France. You can obtain further information on the processing of your data by Bankess on the dedicated DigitalRecruiters website.
  • Data storage period: if you are an applicant outside Niji, your data will be kept for a maximum of 24 months after the last contact with our recruitment service, as the last contact is taken to be the date on which you agreed to the collection of your data.

Your rights concerning your personal data

In accordance with the Regulations, you have a certain number of rights concerning your data:

  • To withdraw your consent for the processing of your data (right to withdraw consent)
  • To define directives relative to the handling of your data after your death

Data security

In view of technological developments, implementation costs, the nature of your data, and the risks in terms of your personal rights and freedoms, Niji implements all appropriate technical and organizational measures to guarantee the confidentiality of your data and ensure a level of security appropriate to the risks presented. 

Transfers outside the European Union

Except for the processors identified below, your data is exclusively reserved for Niji. Your data is hosted in the Datacampus Datacenter located near Poitiers, in France. There are no data transfers outside the European Union.
